PRIVACY POLICY

This notice explains how BykonzYard handles personal information when you use this website, buy a ticket, join the Yard, ask the website assistant, join the mailing list or contact us.

Last updated 28 September 2026 · Applies to bykonzyard.co.uk and BykonzYard services

1. WHO WE ARE

BykonzYard is responsible for the personal information described in this notice. For privacy questions or requests, email bookings@bykonzyard.co.uk.

2. INFORMATION WE COLLECT

Depending on how you use the site, we may receive:

  • Your name, email address and telephone number, and the details you give in a booking request, enquiry or message.
  • Ticket and order details when you buy a ticket. Payments are handled by the payment provider shown at checkout; BykonzYard never receives your full card details.
  • If you join the Yard (the member area): your sign-in details from the sign-in service you choose, the Yard Points you claim and use (including the social handle you give for a claim), and, if you apply to be a rep, your application and your rep link's sales totals.
  • If you use the website assistant (Ask the Yard): the question you type and the page you asked it on. Please do not type personal details into it.
  • If you arrive through a rep's link: the rep's code, kept in your browser for 30 days so the rep is credited if you buy a ticket.
  • Technical information such as your IP address, browser and device details, pages visited and, if a page fails to load, a report of the error (the page, the error message and your browser type).

3. HOW WE USE INFORMATION

We use personal information to:

  • Take and administer ticket orders, provide tickets and entry information, and handle order support.
  • Reply to booking requests, Yard enquiries and other messages.
  • Run the Yard: show your tickets, record and check Yard Points claims, and credit reps for the sales their links bring.
  • Answer questions through the website assistant, and improve its answers.
  • Send newsletter and event updates where you have signed up; you can unsubscribe using the link in any email or by contacting us.
  • Operate, protect and improve this website, including counting visits when we compare two versions of a page and fixing pages that fail to load.
  • Meet legal, accounting and security obligations.

We rely on the steps needed to provide a service or respond to your request, our legitimate interests in running and improving BykonzYard, your consent where required (including for marketing emails), and legal obligations where applicable.

4. SHARING AND RETENTION

We share relevant information with service providers who help us run the site: website hosting and security (Cloudflare, and our own server in the EU), ticket payments (the payment provider shown at checkout), member sign-in (Clerk), the website assistant (an AI model provider that receives the question to generate an answer), and email delivery. Some of these providers are outside the UK; where they are, the transfer is protected by the safeguards the law requires, such as standard contractual clauses. They may use information only as needed to provide their services. We may also disclose information if the law requires it or to protect people and our services.

How long we keep it: ticket and order records for six years (UK accounting rules); enquiries and messages for up to two years after our last contact; newsletter details until you unsubscribe; Yard account, points and rep records while your account or rep link is active and for up to two years after; assistant questions only as the 1,000 most recent (older ones are deleted as new ones arrive); error reports only as the 500 most recent. We delete or anonymise information when it is no longer needed, unless the law requires us to keep it longer.

5. COOKIES AND ANALYTICS

This website uses storage in your browser that it needs to work: to keep you signed in, remember what you have chosen (such as tickets in progress), keep the site secure, and remember a rep's code for 30 days when you arrive through a rep link. When we compare two versions of a page, a random visitor number is stored so each person is counted once; it does not identify you. We do not use advertising cookies. You can clear or block this storage in your browser settings; blocking it may stop some features, such as signing in, from working.

6. YOUR CHOICES AND RIGHTS

You can unsubscribe from marketing emails at any time. Depending on the circumstances and applicable law, you may also ask to access, correct, delete or restrict use of your personal information, object to some uses, or request a portable copy. You may withdraw consent where processing relies on it; this does not affect processing already carried out.

To make a request, email bookings@bykonzyard.co.uk. You can also raise a concern with the UK Information Commissioner's Office (ICO). You also have the right to complain to the Information Commissioner's Office (ico.org.uk) if you are unhappy with how we have handled your information.

7. CHANGES AND CONTACT

We may update this notice when our services or data practices change. The latest version will appear on this page. For any privacy question or request, contact bookings@bykonzyard.co.uk.
